Terms, Conditions, Cancellation Policies & Liability

Terms and Conditions

  • Cool Travel Iceland reserves the right to ask for a non-refundable Consultation fee of up to 50,000 ISK (approx 350 USD) anytime between the first Quote has been sent and the deposit or final payment has been made. The consultation fee will be deducted from the final payment if the customer continues and books with Cool Travel Iceland. 
  • Deposit of 20% shall be paid on confirmation and is non-refundable. 
  • Payment of deposit confirms the trip.
  • By paying the deposit, the customer accepts the terms and cancellation policy of Cool Travel Iceland.
  • For Individuals (up to 10 pers), the remaining amount shall be paid no later than 4 weeks before arrival. If booking is made with less than 6 weeks advance the full payment shall be paid at the time of booking. 
  • For Groups (11 pers and more), the remaining amount shall be paid no later than 12 weeks before arrival. If booking is made with less than 12 weeks advance the full payment shall be paid at the time of booking.
  • For our service Cool Travel Iceland charges a service fee that is included in the price we send you.
  • Our service entails a total package price and therefore a breakdown of price is not obtainable.
  • Cool Travel Iceland offers the following payment options:
    • Wire Transfer via IBAN and SWIFT (fees may apply by your bank).
    • By secure Credit Card link payable with all major Credit Cards (Visa, MasterCard, Diners Club, American Express, JBC, UnionPay & Discover). 
  • Invoice is issued after the trip is completed but if needed we can issue a Proforma Invoice before the trip after a payment has been made.
  • The final price will always be given in ISK. Currency exchange rates are only for guidance.

 

Cancellation

The customer shall inform Cool Travel Iceland of any cancellations and/or changes as soon as possible. All cancellations must be in writing by e-mail and confirmed by Cool Travel Iceland.

Cancellation Policies for Individuals (up to 10 pers)
Cancellations for customer bookings must be reported no later than two weeks prior to the customer’s arrival date. Any cancellations made later than two weeks prior to the customer’s arrival date will oblige the customer to pay 50% of the customers booking. Any cancellations made less than 72 hrs before customer arrival will oblige the customer to pay full 100% of the customers booking. 

Cancellation Policies for Groups (11 pers and more)
For groups (11+ pax), Cool Travel Iceland reserves the right to revise the Cancellation policy as followed:

  • More than 84 days prior to arrival of the group: Deposit is non-refundable.
  • 83 – 56 days prior to arrival of group: 50% charge of total group booking*.
  • 55 – 29 days prior to arrival of group: 75% charge of total group booking*.
  • 28 – 0 days prior to arrival of group: 100% charge of total group booking*.

*Deposit is non-refundable in any case.

 

Liability 

Force Majeure
Cool Travel Iceland disclaims responsibility for any loss, damage, accidents, sickness or changes in schedules resulting from causes beyond the control of Cool Travel Iceland. Such causes include, but are not limited to, acts of nature, labor disputes or any other irregularity beyond Cool Travel Iceland’s control. Cool Travel Iceland reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. In case of any changes in flights (domestic and international), the travelers shall pay any additional cost caused by this, at the time the service is provided (extra hotel nights, meals, transfers etc.). We advise all traveler(s) to have comprehensive travel insurance to meet all contingencies. 

General Liability 
Cool Travel Iceland will not be responsible for any injury, illness, death, loss (for example loss of enjoyment), damage, expense, cost or other sum or claim of any description whatsoever which results from any of the following: 

  • The act(s) and/or omission(s) of the traveler(s) affected or any member(s) of their party or 
  • the act(s) and/or omission(s) of a third party not connected with the provision of the services and which were unforeseeable or unavoidable or 
  • circumstances beyond Cool Travel Iceland’s control as defined under Force Majeure. 

Complaints by Traveller 
If you have a problem during your holiday, please inform the relevant service provider (e.g. hotel) immediately so that they can endeavor to put things right. If your complaint cannot be resolved locally, your complaint must reach Cool Travel Iceland within 14 days from departure from Iceland. Otherwise, any possible compensation is not valid. 

Insurance 
Cool Travel Iceland considers adequate travel insurance to be essential. Cool Travel Iceland cannot accept responsibility for any cost for you or any of your travel party that may incur as a result of failing to take out insurance cover. It is your responsibility to ensure that the insurance covers all your activities during your holiday, for example, water sports, riding tours, snow scooter tours and winter sports. Please read your policy carefully and take it with you on your holiday. 

Credit Card Fraud Contingency 
If you do not supply the correct credit or debit card billing address and/or cardholder information, the issue of your tickets may be delayed and the overall cost may increase. We also reserve the right to do random checks in order to minimize credit card fraud.
